LEVEL 3
BUSINESS ADMINISTRATOR  (v1.0)

The Business Administrator Apprenticeship Assessment  Explained

Business administrators work across organisations of all sizes in the private, public and charitable sectors. Their skills are transferable across industries, supporting the teams, processes and services that help an organisation operate effectively.

The core purpose of a business administrator is to develop, maintain and improve administrative services. Working independently or as part of a team, they support different parts of the organisation and interact with internal and external customers.

In practice, business administrators produce accurate records and documents, use digital systems, organise meetings and resources, and support projects. They manage competing priorities, communicate with colleagues and stakeholders, and use sound judgement to resolve problems and improve working practices.

The role requires professionalism, initiative and responsibility for the quality of their work. As their experience develops, business administrators may also support colleagues through coaching or mentoring, building skills that can support progression into management or senior support roles.

Timeline

The apprenticeship typically includes an 18-month training period. This is followed by the assessment period, which is typically completed within three months.

For additional information about this apprenticeship assessment, read the Level 3 Business Administrator Apprenticeship Assessment Plan.

Assessment methods

01

Knowledge test

An online, invigilated multiple-choice test lasting a maximum of 60 minutes.

The test includes 50 equally weighted questions, each with four possible answers. It assesses knowledge such as relevant legislation and regulations, business principles and project management.

The knowledge test should typically be passed before the apprentice progresses to the interview and presentation.

02

Portfolio-based interview

An interview with an independent assessor lasting 30–45 minutes, structured around the apprentice’s portfolio of learning.

The apprentice explains examples of their work, reflects on their performance and demonstrates how they have applied the required knowledge, skills and behaviours.

The portfolio is developed during the apprenticeship and must be submitted to the assessment organisation one month before the interview. It supports the conversation and is not directly assessed.

03

Project presentation

A presentation based on a work-based project or process improvement completed during the apprenticeship, before Gateway.

The presentation lasts 10–15 minutes, followed by 10–15 minutes of questions and answers. It explains the project’s aims, the apprentice’s responsibilities, the outcomes achieved and how the results could be improved in future.

The project or process improvement should involve 21–35 working hours, covering activities such as planning, managing, communicating with stakeholders, monitoring and reporting.

Gateway

What is Gateway?

Gateway marks the transition from learning to assessment. It’s the point where the employer and training provider confirm the apprentice has developed the required knowledge, skills and behaviours (KSBs) and is ready for final assessment.

To be eligible for assessment, apprentices must have:

  • Developed the knowledge, skills and behaviours required by the standard, with their employer confirming they are competent in the role and ready for assessment.

  • Met the English and maths requirements that apply to them under the apprenticeship funding rules.

  • Prepared a portfolio of learning, reviewed by their employer and training provider, demonstrating the knowledge, skills and behaviours required for the portfolio-based interview.

  • Completed their work-based project or process improvement.

  • Demonstrated the digital skills required for their role, confirmed by their employer.

  • Understood the assessment process and agreed to undertake the end-point assessment.
